About the Opportunity
Jacobs UK has a dedicated Vetting Team to support the background checking of all new starts to fulfil the Cabinet Office Baseline Personnel Security Standard requirements and uses a third party provider (Sterling) to conduct background checking.
Typical Tasks to support will include:
- Receive new starters report.
- Send candidates a Clearance Initiation Form (CIF), then process completed CIF via our third-party provider Sterling and deal with and respond to any queries during this process.
- Issue Pre Clearance-Check (PCC) forms and instructions to applicants and assist with checking/approval of completed applications.
- Assist staff in completing PCC, Security Check and Developed Vetting Forms, chase outstanding forms and information missing from applicants and report all matters of vetting concern to the SVM and keeping them up to date with any outstanding issues.
- Maintain the Company Vetting Database and hardcopy records and record leavers/starters details and advising the Vetting Authority of personnel leaving with National Vetting.
- Be responsible for annual vetting reviews and issue of Security Appraisal Forms and report all matters of vetting concern to the SVM and keeping them up to date with any outstanding issues.
- Assist in recording and reporting appropriate aftercare issues, ensuring we are notified of any changes that might affect clearances and assist with briefing bookings, meeting bookings and where required travel bookings and information.
- Recording Change of Circumstances ensuring we are notified of any changes that might affect staffs’ clearances or any personal changes and provide administrative support, printing reports, scanning, filing etc.
This is essentially an administration-based support function and requires processing of personal information. Therefore, confidentiality is critical to this role.
- Process administration-based tasks.
- Handle personal information in a confidential and sensitive manner.
- Use Word, Excel and other MS Office packages as required.
- Communicate with new candidates in a clear and confident manner (written and verbal)
- Input data accurately into the Access Databases
Jacobs are looking for and/ or invite applications from those with an administration-based background with experience in vetting administration requested but not essential.
Applicants must have/have the ability to obtain SC clearance and be a sole British National
